IRAS Application Procedure

The steps below explain the IRAS application procedure. An IRAS Application Procedure Flowchart is also available to help explain the process.

  1. Set up an account in the create account section of the website.
  2. Under the ‘my projects’ tab click ‘create new project’.
  3. In the ‘project filter’ page you will need to answer a series of questions about your research. The answers to these questions will define which forms the system creates for you to complete.
  4. The forms that are raised for completion can be viewed on the Project Index/Navigate page, which can be accessed by pressing the ‘navigate’ link.
  5. You can add Site-Specific Information forms to your application through the SSI tab which appears on the REC, R&D, and GTAC forms.
  6. By clicking on the forms you will be able to view all the relevant questions for completion on the right-hand side of the page. All active questions will be underlined and you will only need to enter your details once as it will populate all other forms.
  7. By pressing ‘Navigate’ your work will be saved and you will be taken back to the Project Index/Navigate page. ‘Save’ will save your work, while keeping you on the same page.
  8. You can transfer forms to other users who have registered accounts with IRAS. This is useful if you are working with others and need to confirm the details of your application. To do this, select a form, and then click on the ‘Transfer’ tab. You will then need to enter the email address of the user you wish to transfer the form to – this must be the same email address as they registered with. Once you have transferred a form you will no longer be able to work on it until it has been transferred back.
  9. Some forms will require authorisation (from the sponsor, for example). You can do this either by printing the forms and sending them to the person who needs to sign them, or by sending them via IRAS for an electronic signature. To do this you need to click on the ‘Authorisation’ tab on the selected form, where you will be offered the options to ‘sign’ or ‘request’ authorisation from someone else. As with transferring a form, you will need to enter their email address and send the request.
  10. When you are ready to submit, you will need to visit the ‘Submission’ tab for each form. This will detail the information and process you need to carry out in order to submit the selected form. Click the ‘Print for Submission’ button to generate a PDF copy of the form – this will be stamped with a ‘Submission Code’ on the bottom right-hand corner of every page.
  11. The application forms created in IRAS are never locked, so if you decided you need to make a change to your application, you will be able to. You will then be given the opportunity to resubmit the form via the ‘Submission’ tab. See Gaining National Ethical Approval for information on what happens next.
  12. Any amendments to the study or application that you make after you have submitted the forms will need to be made via the ‘Amendment’ tab, which will provide details on the arrangements for giving notice of amendments to the relevant bodies.
